Executive Assistant position in the City Attorney’s Office.In this position, you’ll work directly with the City Attorney to support his work with Assistant City Attorneys, the City Manager’s Office, the City Clerk’s Office, the City Council, department heads, City staff, outside counsel, and other City partners.
The Executive Assistant provides
high-level administrative and legal-office support to the City Attorney. The City Attorney’s Office is an internal service department that advises City officials and employees, supports City Council and Planning Commission matters, coordinates legal documents and records, assists with contracts and agenda items, and helps maintain confidential and attorney-client privileged communications and records.
The ideal candidate will be able to exercise sound judgment and maintain legal confidentiality in a fast-paced City Attorney’s Office environment. The ideal candidate will also be highly organized, disciplined, detail-oriented, and proactive, with the ability to anticipate ways to support the City Attorney’s Office, prioritize competing demands, deliver timely completion of the most important and urgent tasks for the City Attorney, track deadlines, prepare and proofread professional correspondence and documents, maintain confidential files, assist with legal and City Council-related processes, and assist the City Attorney’s Office in providing responsive support to executive management and department staff.

Human Resources page . Qualifications Education and Experience: Any combination of training and experience that would provide the required knowledge, skills, and abilities is qualifying. A typical way to obtain the required qualifications would be:
- Equivalent to the completion of twelfth (12th) grade.
- Five (5) years of increasingly responsible experience performing technical, clerical, and administrative support involving significant public contact.
Desirable Qualifications: - At least three (3) years of experience providing executive assistant, legal secretary, paralegal, or comparable support in a City Attorney’s Office, County Counsel’s Office, law firm, public agency legal office, or other legal practice setting.
- Experience working with confidential, sensitive, and attorney-client privileged records and communications.
- Experience preparing, formatting, proofreading, tracking, routing, or coordinating legal documents, contracts, agreements, resolutions, ordinances, staff reports, agenda materials, claims, litigation-related documents, subpoenas, discovery, or other legally sensitive records.
- Experience supporting senior attorneys, executive management, or other high-level decision-makers in a confidential and deadline-driven environment.
- Demonstrated professional strengths in attention to detail, organization, proactiveness, discipline, sound judgment, discretion, follow-through, and written communication.
- An associate degree, bachelor’s degree, paralegal certificate, legal secretary certificate, or other higher education or training related to public administration, legal studies, business administration, records management, or a related field.
- Experience with municipal government, agenda management, records retention, the California Public Records Act, Brown Act processes, contract routing, claims administration, or legal office case/document management systems.
Licenses and Certifications: - Depending on assignment, possession of a valid California Driver’s License and a satisfactory driving record must be maintained throughout employment.

The examination process will consist of: - Application Review — Submitted applications will be assessed based on job-related qualifications, including desirable qualifications and the specific needs of the hiring department. Eligible List : All applicants that pass the examination process will be placed on the eligible list which is good for at least 6 months and may be extended up to an additional 18 months. This eligible list will be used by the City of Brentwood to fill all current and future openings in this classification as long as the list is active.
