Position Description The Office of the President is seeking a highly organized, strategic, and detail-oriented Assistant Managing Director - Finance & Administration to provide functional oversight across the financial and administrative functions of the President's office.
Major/Essential Functions Finance- Partners with the Assistant Vice President of Presidential Finance, Administration, and Operations in the development, submission, and ongoing maintenance of the budgets of the Office of the President and Healthy Communities. Serves as the lead for the budget prep system, data entry, reporting, and recommendation during the annual budget preparation process. Manages budget revision process to ensure accurate allocation of funds and compliance with institutional financial guidelines.
- Coordinates preparation and submission of budget, payroll, and other administrative transactions, including but not limited to the electronic Personnel Action Forms (ePAFs), labor redistributions, Employee One Time Payments (EOPS), PASS, or other transactions, in accordance with institutional policies and procedures.
Administration- Serves as the hiring coordinator during recruitment for all Office of the President team members, as needed, to include sending communications, coordination of interviews and meetings, ensuring compliance with all required documentation, and the consolidation of candidate feedback.
- Manages annual position descriptions for Office of the President team members.
- Responsible for providing communication and support to ensure the timely completion performance reviews for Office of the President team members.
- Plans, coordinates, or helps to conduct the onboarding process for new Office of the President team members.
- Coordinates internal contract review process within the Office of the President team. Prepares and submits contract system requests to support the approval and execution of agreements.
Administration Required Qualifications Bachelor's degree in a related field and five years of technical or management experience OR a combination of education and/or years of technical or management experience to equal a minimum of 9 years.
