SummaryABOUT THE DEPARTMENT: The Health Services Department provides public health and behavioral health programs and services that benefit residents county-wide. The department includes more than 450 employees across ten sites, working in a diverse range of programs within three service areas: Public Health, Behavioral Health, and Administrative Services. This position is responsible for effectively supervising a team of front-office administrative staff supporting behavioral health program s and for providing supervision primarily to teams that support the behavioral health services at our main clinic in Bend and our hub locations in Redmond and LaPine. This position works in tandem with our other front office supervisors that provides supervision to our three intensive outpatient services clinics in Bend.

ABOUT THE JOB: The Administrative Supervisor for the Behavioral Health Front Office team is a part of the Administrative Services division of the Health Services Department. This position is responsible for supervising and overseeing Front Office staff who provide critical administrative support services for behavioral health clinical teams at various locations in Bend, Redmond, and La Pine. This position plays a crucial role in ensuring smooth administrative operations, maintaining patient satisfaction, and supporting clinical staff through collaboration and integration between clinical and administrative roles. This position also acts as a liaison between clinical leadership and the administrative support staff team they supervise to ensure duties are appropriately assigned and balanced amongst the team members. They will train new Front Office staff, manage schedules, provide individual supervision, conduct team meetings, and direct administrative work.
This position is primarily based in Bend, though travel will include other sites in Bend, La Pine and Redmond. This position is on-site only.
Key Responsibilities:- Front Desk operational oversight of day-to-day activities such as client check-ins, appointment scheduling, phone calls, and clinical/client inquiries.
- Staff supervision and training, including monitoring performance and providing regular feedback, coaching, and disciplinary action if necessary.
- Client relationships and experience such as resolving concerns or complaints at the front desk level, promoting a welcoming and supportive atmosphere, and ensuring culturally competent, trauma-informed service delivery.
- Technology and Systems oversight in the use of Epic, our Electronic Health Record (EHR) system; Artera, our client appointment reminder and texting application, and other ancillary software and websites necessary.
- Collaboration and communication between administrative and clinical staff, weekly and monthly participation in leadership meetings to discuss front office performance and needs, and participation in workgroups to represent front office interests.
What You Will Bring:Knowledge of or experience with:
- Working as an administrative support professional in a healthcare setting.
- Prior supervisory or lead experience in a healthcare setting, including experience training, supervising, or mentoring a team.
- Effective problem-solving of personnel issues.
- Comfort and experience with multiple systems, including but not limited to: phones, EHRs, Microsoft Office suite, and Munis.
- Working with vulnerable populations.
Skill in:- Clear verbal and written communication.
- Problem solving.
- Delegating and balancing workloads within a team of professionals.
- Being proactive and responsive to challenges within the team and between administrative and clinical teams.

Minimum Qualifications- Associate’s degree in Business or Public Administration or a related field;
- AND four (4) years of administrative support and records management experience that includes one year of lead or supervisory experience;
- OR any equivalent combination of training, education, and experience that provides the required skills and knowledge to perform the job.
Preferred Qualifications:- Associate's degree in Healthcare Administration, Business Administration, or a related field; AND four (4) years of administrative support and records management experience that includes at least one year of lead or supervisory experience.
- Proficiency with electronic health records system, (e.g. Epic).
- Experience with insurance verification, patient intake processes, scheduling, and basic medical billing.
- Experience training other staff members on workflows, new systems, or other relevant job-specific skills.
- Experience working in a Behavioral Health, Public Health, or government healthcare environment.
Necessary Special RequirementsDriving is a requirement for this position. Possession of or ability to obtain a valid Oregon driver's license within 30 days of hire date. The employment offer will be contingent upon presentation of an acceptable and verifiable driver's license, pre-employment screening for criminal history, driving history, and controlled substances (NOTE: Positive test results for marijuana use may result in rescission of a contingent offer of employment). This screening must be completed with satisfactory findings in order for a formal offer of employment to be extended.
