Major Duties, Responsibilities- Reviews and approves requisitions, ensuring account codes are accurate, capital expenditures were budgeted, and that the County purchasing policy was followed.
- Enters requisitions in the purchasing program, generates and distributes purchase orders. Balances the purchasing system on a weekly and monthly basis.
- Assists other departments and employees with purchasing related issues and resolves problems. Answers telephone calls, providing requested information or forwarding the caller to the appropriate individual.
- Reviews and approves employee travel claims, ensuring account codes are accurate and that the County travel policy was followed.
- Manages setup and inactivation of P-Cards for employees. Sets up and inactivates users for reconciliation of P-Card transactions.
- Monitors prepayments to vendors, ensuring goods or services were received. Reconciles contract payments on purchase orders at year-end.
- Maintains all financial contracts, intergovernmental agreements, and Board of Supervisors' approved agenda item forms for financial related transactions.
- Reviews Employee Contractor Determination Forms. Works with HR personnel as well as other Finance employees to assist in processing the vendor setup request.
- Opens and sorts mail.
- Operates check signer for payroll and accounts payable warrants.
- Performs other job-related duties as assigned.
Minimum QualificationsEducation: High school diploma or equivalent.
Experience: A minimum of three (3) years of relevant experience in general and/or governmental purchasing.
Additional Requirements:Must possess a valid Arizona driver’s license.
