Position DescriptionManages a unit within a department. Plans, organizes and develops goals and procedures for the unit. Represents the unit to administrators, outside agencies and others on relevant matters. Supervises subordinate staff.
Major/Essential Functions- Represents TTUHSC School of Health Professions Office of Admissions and Student Affairs to prospects, applicants, current students, SHP team members, and institutional partners to foster student engagement, student success, achieve enrollment and retention goals in alignment with the mission and goals of the school and university.
- Operate the SHP Student Affairs suite during office hours, including greeting and assisting guests, answering phone calls, and managing incoming inquiries or requests.
- Serve as the primary administrative support to the Associate Dean for Admissions and Student Affairs (ASA) and the ASA team.
- Manage business operations and financial reporting for the Office of Admissions and Student Affairs (ASA) team. Responsibilities include budget oversight, expense tracking, reconciliation, purchasing, travel, and preparing financial reports to support informed decision-making and ensure compliance with institutional policies.
- Assist with the SHP scholarship process, including budget monitoring, award processing, tracking, and reporting.
- Assist with the hiring process for the ASA team.
- Manage and maintain accurate and up-to-date team member records.
- Manage and maintain OASA equipment and supply inventory.
- Supervise unit staff, including hiring, training, scheduling, performance evaluations, corrective actions, and approval of hourly team members' time reports.
- Record and distribute meeting minutes and materials for ASA staff meetings.
- Assist in answering phones and emails, and fielding questions about the TTUHSC School of Health Professions.
- Assist with TTUHSC School of Health Professions events.
- Support our TTUHSC vision and mission by carrying out our values-based culture.
- Maintain the ability to work professionally with co-workers, faculty, staff, and students, provide excellent customer service and multitask with ease.
- Contribute to the overall success of the University and SHP by performing other duties as assigned.
- Maintain strict confidentiality for applicants, current students, faculty and staff.
- Observe work safety rules.
Required QualificationsBachelor's degree plus three years of supervisory experience OR a combination of education and/or supervisory experience to equal seven years.
