An Administrative Assistant job is available with the City of Fort Worth Transportation and Public Works Department within the Construction Office Business Support team. This position provides administrative and fiscal support to the Construction Business Support and Inspection teams.
The Administrative Assistant position requires strategic thinking and the ability to logically resolve complex reconciliations. The ideal candidate will have experience with government purchasing such as purchase orders, contract purchases, and reconciliation. The candidate must have the ability to work in a fast paced work environment, strong organizational skills, detail-oriented and adaptable to changing situations.
Minimum Qualifications: - Associate's degree from an accredited college with major course work in Business Management, Public Administration, Business Administration or a related field.
- Four (4) years of clerical and administrative experience.
Preferred Qualifications: - Experience with construction accounting and construction payment application forms.
- Intermediate to advanced skills in Microsoft Office, most notably Excel.
- Strong problem solving, strategic, and analytic skills.
- Experience with PeopleSoft (ERP) or similar financial management system.
- Previous municipal experience.
The Administrative Assistant job responsibilities include: - Perform administrative functions for purchase orders which may include but not be limited to: creating specifications and answering vendor questions, developing and processing contract agreements, and creating requisitions
- Prepare and process construction project completion documents, ensuring accuracy and timely routing for approvals
- Process and review technical documents and duties relative to the purchasing and construction office contract processes
- Evaluate current processes for improvement and efficiency recommendation(s).
- Participate in special projects as assigned
- Serve as backup for various staff positions in their absence
