Position Description
This position is responsible for ensuring the smooth operation of the clinic patient flow and serving as the primary contact for patients. Responsible for scheduling appointments, preparing necessary paperwork before the patient visits, receiving patients, and maintaining records. In addition, this position is responsible for processing charges for clinic services, filing insurance claims, responding to requests for information from patients and insurance companies and maintaining related information for the department. Employees may have cash-handling responsibilities.

Major/Essential Functions
Patient CHECK IN and REGISTRATION. Update patient registration to include: smile & greet patient, verify & enter correct patient demographic information, insurance FSC and pharmacy information for patient. Collect patients copay

Collect and review patient required paperwork (Privacy Practices, Consent to Treat, Authorization to Release information, etc.)

Answer and process all incoming clinic phone calls.

Verify patient insurance eligibility and benefits. Notify front desk staff of patient responsibility due at the time of service. Verify patient benefits 2 to 3 days in advance.

Pick up and distribute money bags to front desk staff. Reconcile cash drawer.

Scan Medical Records into EMR.

Maintains all patient correspondence which includes: faxes, mail appointment changes, home health certifications.

Patient CHECK OUT to include: answering any questions presented by patient, collecting patients money, and scheduling follow up appointments.

Obtain all required pre-authorizations or insurance referrals. Obtain proper records for consultations.

Keep front desk staff up to date on all changes and in insurance, processes of checking in and out.

Be a positive and professional role model for the front staff. Ensure all are following the rules and policies of TTUHSC and department.

Monitor patients checking in, if they are getting frustrated help out and be the go to for frustrated patients.

Monitor staff and when there is a need create manuals and trainings for the front desk staff to follow to ensure they know the steps of checking in and out and have sources to reference for questions on insurances and other topics.

Required Qualifications
A High School diploma or GED. 1-year Customer Service, office, or related experience. Additional education may substitute for the experience requirement.
