Position DescriptionManages personnel and budgetary matters for a department or college. Exercises discretion and independent judgment to oversee the activities of staff and the financial processes to ensure fiscal responsibility of the department/college. Ensures staff and faculty have the resources to complete their work. Usually serves as a hiring manager and employee service coordinator.
Major/Essential FunctionsThe primary responsibility of the GSBS business manager is to oversee the Graduate Medical Education Sciences students from matriculation to graduation. This includes enrollment verification each semester, annual advising meetings, completion of graduation requirements and admissions. Additional duties include:
ADMISSIONS:
Review applications for each admissions cycle
- Assist with ballot justifications for GMES applicants
- Review applications / make contacts with incomplete applicants
- Plan and organize interviews
COURSE/PROGRAM MANAGEMENT:
Build course information into the banner,
- Collect/update syllabi annually
- Remind and confirm that faculty have entered grades into Banner
- Maintain Course files
- Update the GMES guidelines annually
- Take notes at GMES program committee meetings
- Notify Tres of any changes needed to the GMES website
- Track expenses for GMES
- Maintain student database and efiles for GMES students
- Collect data for Weave reporting on the GMES program
- Confirm faculty each semester for course evaluations
- Work with Registrar's office to update DegreeWorks on program changes, as needed
ORIENTATION FOR GMES STUDENTS:
- Organize speakers
- Develop schedule - work with Schneider and Webster
- Communicate details to GMES students
- Reserve rooms
- Order food
OTHER RESPONSIBILITIES:
- Assist Managing Director with budget planning and expense tracking
- Assist as needed with GSBS events: SRW, receptions, graduation
- Process budget revisions as needed
- Process electronic POs, direct pay, travel
- Enter IPE certificates for GMES students
- Update faculty email distribution lists (spring, summer, fall)
- Back up for office phone
Required QualificationsBachelor's degree and four years of experience developing or managing programs or projects OR a combination of education and/or experience developing or managing programs or projects to equal 8 years.
