The Job

The San Bernardino County Department of Public Health (DPH) is seeking an Office Specialist to join our team. The Office Specialist will provide administrative and clerical support for the Community Vital Signs (Vital Signs) initiative to coordinate community engagement and stakeholder committee meetings and activities that advance the implementation of the San Bernardino County Community Transformation Plan.

Responsibilities include:
Coordinate recurring meetings for the Vital Signs Steering Committee, Implementation Committee, Co-chairs, ad hoc committees and workgroups.Maintain contact lists, distribution lists, and committee rosters.Use planning tools and polls (e.g. Doodle, Outlook, or Teams) as needed for scheduling meetings with multiple attendees.Draft, format, and print materials, agendas, flyers, sign-in sheets, worksheets, and handouts.Support meeting logistics, reserve rooms, set-up virtual meetings (Teams and Zoom), and arrange supplies and refreshments.Prepare and send calendar invites, meeting announcements and reminders to meeting participants. Track attendance and maintain logs.Attend meetings and compose detailed meeting minutes.Develop and send meeting minutes and follow-up materials, and route to DPH staff and committee Co-chairs for review.Distribute final meeting materials and ensure timely posting on the Vital Signs website and shared drives.Provide attendance reports to committee members and DPH staff.Monitor the Vital Signs email inbox and route messages to appropriate staff.
This position is extra-help, and incumbent does not attain status as regular County employee. Although this position is of limited duration and temporary in nature, assignments may be up to twelve (12) months.

CONDITIONS OF EMPLOYMENT

Pre-employment Process: Applicants must pass a background investigation, which includes fingerprinting, credit check, and/or medical exam, prior to appointment.

Shift work and/or weekend work: Incumbent may be required to work occasional evenings and/or weekends depending on assignment.

Travel: Travel throughout the County may be required and employees will be required to make provisions for such transportation.

Employment Status: Extra help positions are in the Unclassified Service, which serve at the discretion of the appointing authority and do not attain regular status. These positions participate in the County's Part-time Seasonal Temporary (PST) Deferred Compensation Plan and do not earn any other benefits.

Minimum Requirements

EXPERIENCE

Two (2) years full-time experience performing complex clerical tasks in an office environment. Experience must be comparable to duties performed by a clerical lead worker and/or supervisor, fiscal assistant, or other office work which is non-routine in nature and requires exercising independent decision making.

Experience must be clearly described on the application and must include performing a variety of clerical tasks including public contact and computer usage.

Note: Retail and food service experience is not considered qualifying experience for this position.

Desired Qualifications

Experience using computer applications; the skill areas listed on the Supplemental Questionnaire are highly desirable.
